Introduction

Every missed call is a lead that never appears in a report. The caller simply rings the next business on the list.

This project is currently in build. It is a voice agent that picks up the calls a team cannot, qualifies the caller and books them straight into the calendar. Real performance numbers will be published after a month of live traffic.

Challenge

Calls arrive in bursts, so the ones that hit a busy line or come after hours go to voicemail.

Very few callers leave a message. From the business’s point of view those calls never happened, which makes the problem easy to underestimate.

Solution

An agent that sits behind the team, not in front of it.

Calls still ring the humans first. The agent only answers overflow and out of hours calls, so nothing changes for the calls the team can take.

  • Answers on the first ring and holds a natural conversation.
  • Qualifies using the owner’s own criteria.
  • Books into live calendar availability, or hands over to a person with full context.
Missed calls versus overflow: The team always gets the first ring. The agent only picks up what would have gone to voicemail.

Testing

The agent is tested against real recorded calls before it ever takes a live one.

  • Handling interruptions without talking over the caller.
  • Knowing when to hand over early.
  • Real accents and noisy mobile lines.
  • Live availability checks to avoid double bookings.

Final thoughts

The handover rate is the number that matters most, and it will be published alongside everything else.
