Introduction

Every job at Advanced Solutions travelled through four documents, and every one of them was typed by hand.

Details went into an enquiry sheet, then onto a quote, then onto a job card, and finally into the accounting software. We replaced that chain with a single job record that carries each job from enquiry to payment.

Challenge

Two people lost every morning to re-keying, and the copies quietly stopped agreeing with each other.

A price corrected on the quote never reached the invoice. Completed jobs sat unbilled. Nobody could see which documents disagreed without comparing all four, so mistakes surfaced weeks later in awkward client conversations.

Solution

One record per job, with every document generated from it instead of retyped.

When the quote, job card and invoice are all rendered from the same fields, there are no versions left to drift apart. A change made once is a change made everywhere.

  • Marking a job complete moves it straight to invoicing.
  • Anything missing or contradictory lands in a small review queue before it is sent.
  • A live board shows the state of every job at a glance.
